Abstract

This project work is based on online student admission system into Kwara State Polytechnic and the case study is Kwara State Polytechnic, Ilorin, Kwara state.

The computerization is based on how to make the admission process fast, efficient, accurate and more convenient for all the Departments and the Polytechnic as a whole.

A lot of problems are encountered in manual system, thus, these problems are put in to consideration and solutions are being given to them in order to minimize them to a more bearable level or totally eliminate them.

Introduction

This project is based on the computer application of student’s admission system into Kwara State Polytechnic, Ilorin.

The computerization of admission system is set out to find a more efficient, effective, well organized, reliable, faster and more accurate means of processing student’s admission into all the institutes of the polytechnics.

A computer based system will assist to reduce the problems of admission which is due to the large number of students seeking admission into the polytechnic.

Objective of the System

The importance of this system cannot be over emphasized, the admission process is a very strategic part in the polytechnic. This admission process is faced with series of problems when determining those who are qualified to be admitted among the student applying. Also, by using manual method, this problem is enormous due to the natural weakness of human being when it gets to tasking job that are very voluminous.

The objective of this project is to minimize the problems encountered during the manual system.

Other objectives are listed below:

To reduce the problem of overgrowing students forms
To provide each department with comprehensive on each students
To keep an up-to-date record of student
For easy retrieval of information about students.

Weakness of the Manual System

The forms are stored around in the office thereby making the office rough
Shortage of staff which makes the work load on the staff too much and it result in incompetence of staff
The existing manual system is error prove since there is negligence on the part of the officer in charge of registering of the students
The manual method of handling data/information gives room for easy manipulation and is also very tedious and time consuming.
Also, in the manual method some forms are lost or misplaced leading to inefficient.

Chapter One

1.1 Introduction

Online admission in Kwara State Polytechnic, is the topic of the project. Kwara State Polytechnic comprises of five institutes namely, institute of Basic and Applied Science (IBAS), Institute of Finance and Management Studies (IFMS), Institute of Technology (IOT), Institute of Environmental Studies (IES), Institute of Administration (IOA), both National and Higher National Diploma (ND and HND) programme.

Nowadays there are technological advancement in the world as the world is a global village as a result of this, the use of computer in all sectors makes student admission simple, easy and also eradicate all forms of error made by human being.

An internet based system will assist to reduce the problems of admission which is due to the large number of students seeking for admission into the polytechnic.

With the use of online there will be a proper presentation to the higher management, less labour and it also eliminate time wastage and enhance accuracy.

1.2 Aims and Objectives

The importance of online admission process cannot be overemphasized, as a result of increasing number of students who applied into Kwara State Polytechnic yearly. The admission process encountered a lot of problems which determine the qualified and unqualified candidates for a particular course of study in a specified department and institute of the polytechnic.

The objectives of this project to minimize the problems encountered are as stipulated below:

To reduce the problem of accumulated students forms
In order to keep record of applied and admitted students
To provide easy retrieval of a particular record
Availability of hostel allocation
Given of matriculation number

1.3 Significance of the Study

Due to the fact that maintaining, controlling and storing of students record which are being done manually are not efficient and effective, thus online admission system was introduced to reduce or eliminate the problem.
The significance of this study lies on the valuable contributions its makes to the area of the study.

1.4 Methodology

The admission office at the registry department of Kwara State Polytechnic was visited and enquiries were made about how they handle the admission into the institution. We also carried out interview about the existing manual system in order to determine the accuracy, efficiency and effectiveness of the current system of admission.

In this research work the method of data collection used is interview method i.e face to face interview as a result of the fact that questions were asked based on its relevance problems to this research work. The officer in charge took us through the process of how forms are been registered or sorted out departmentally and how such files are being maintained.

Based on the facts collected and analysis, online admission system was introduce based on its relevance to this research work.

1.5 Scope and Limitation

This project work covers the National Diploma (ND) and Higher National Diploma (HND) programme of the Polytechnic but did not make attempts to other aspect of the institution such as postgraduate students.

1.6 Organization of the Report

This project work is based on online admission process, a case study of Kwara State Polytechnic Ilorin and it is restricted to only National Diploma (ND) and Higher National Diploma (HND) programme in Kwara State Polytechnic.

This research work is arranged in to chapters which ranges from chapter one to five.

Chapter one introduce us to the project work, aims and objectives of the study and does not leave unturned the significance, methodology, scope and limitation of the report.
Chapter two is concerned with the literature review which comprises of the Historical background and the state of art of the study. It also describe the advantage of the online admission.
Chapter three deals with the description and problems of the current procedure, the description of the proposal system and also the advantage of the proposed system.
Chapter four deal with the design, implementation, documentation and maintaining of the system in which the design of the system includes output, input design, database design and the procedure design. The implementation of the system includes the techniques used in details, the choice of programming language and the reasons, the hardware and software support of the system.
Chapter five deals with the summary, experienced gained, problem encounter, conclusion and recommendation for further studies.

5.0 Summary and Conclusion

5.1 Summary

This project tittles ¨Online student admission system¨ is one of the most important way or means of improving the admission system of the institutions. The proposed admission system is designed in such a way that the use of computer can be applied to the admission of students entering Kwara State Polytechnic Ilorin.

The main aims and objectives of this project is to ensured that the used of computer in the admission process will bring solution to the problems encountered in the manual system, thus, enhance effectiveness, efficiency, accuracy and save a lot of time in the admission processes.

5.2 Experience Gained

This project has been something of great important because, it widens or increases our skills in programming and the knowledge of computer application. We discovered that the work done manually can be with the use of computer accurately and even faster.

Also, this project offer us the opportunity of knowing more about the admission processes as well as officers involved.

5.3 Problem Encountered

Despite all the experience gained, we also encountered some problems which could not be left out. Some of these problems are instability of power supply which courses a delay in running and compiling our program.

5.4 Conclusion

Having gone through the manual and new design system, one can conclude that computer base system is to be use. From the two system discussed, the manual system having a lot of set backs and also looking through the nature of work, the staff has to do and the time required to perform them. We can conclude that the computerized method is better if it implemented, the set back will be eliminated or drastically minimized.

5.5 Recommendation

With the above discussion, we therefore, recommend this project to the admission office of the Kwara State Polytechnic, Ilorin to improve efficiency and effectiveness of the admission process of the institution.

The project should be handled by a computer specialist for efficiency, but if a novice handles it, it is user friendly i.e. it is easy to understand. However, this project can be modify if need be to suit many purposes and application.

Finally, the user should be compelled to use the specified menu options in the program in order to achieve accuracy, efficiency and all the desired work of the admission process.
