Abstract

Our project “entitled Design and implementation of automated Billing system for supermarket” (using Maris Supermarket Owerri Imo State as our case Study), which uses manual mode of operation.

The supermarket has been experiencing so many difficulties with this mode of operation; which includes;

Lots of paperwork: Existing system uses so many papers and even a small transaction require many papers to fill.

Secondly; Difficulty in reports generation. Either no reports generation in a current system or they are generated with great difficulty; reports take time to generate in the current system.

Finally, the project is to computerize the Front Office Management of the supermarket to develop software which is user friendly, simple, fast, and cost – effective.

Chapter One

1.1 Introduction

The project billing system is an application to automate the process of ordering and billing of a Departmental store.

This web based application is designed considering the chain of departmental store which is located in various cities. This application also administrates its users and customers.

The goal of any system development is to develop and implement the system cost effectively; user-friendly and most suited to the user’s analysis is the heart of the process.

The project is based on the concept of RDBMS (i.e. Relational Database Management System), a database which store data in the form of tables which is related with each other in a particular manner.

1.2 Problem Description

The purpose of the project entitled as “Design and Implementation of Customer Billing System” is to computerize the Front Office Management of the supermarket to develop software which is user friendly, simple, fast, and cost – effective. It deals with the collection of customer’s information, items details, etc. Traditionally, it was done manually.

The main function of the system is to register and store customer’s details and products details and retrieves these details as and when required, and also to manipulate these details meaningfully. System input contains customer’s details, products details; while system output is to get these details on to the CRT screen.

1.3 Objectives

This project will serve the following objectives:-

1. Add and maintain records of available products.
2. Add and maintain customer details.
3. Add and maintain description of new products.
4. Add and maintain new entered category of products.
5. Provides economic/financial reports to the owner monthly or weekly and yearly.
6. Provides a convenient solution of billing pattern.
7. Make an easy to use environment for users and customers.
8. To make software fast in processing, with good user interface so that user can change it and it should be used for a long time without error and maintenance.

1.4 Scope

1. This project will help the store keeper in fast billing
2. This project enable store keeper to maintain a great database of all customers visited and purchase product from store.
3. This Project will enable the store keeper to see report regarding product and category.
4. Easy to maintain in future prospect.
5. Calculate the bill
6. Give the bill to the customer.
7. Store how many products are sold
8. Store products and their prices and with other information.
9. Set the rates of taxes and commission on the products.
10. Can see the report of the product in a fix period of time.
11. Calculate the expanses on the product.

1.5 Modules

We will use 5 modules in this project. These are as follows:

Module 1: Login Id

This module is made for the login of users. We know that we have 3 users so Login-id is for:

1. Administrator
2. Data Entry Operator
3. Bill Calculating Operator

Module 2: Apply taxes and commissions

This module is for administrator who will

1. Set the taxes for the products.
2. Set the commissions for the products.

Module 3: Check the Report

This module is also for the administrator who can generate or check the report of the product and how many products are sold on particular date or in a period of time.

Module 4: Enter the information about products

This module is for data entry operator who will

1. Enter which products come in the store.
2. Prices and expiry date of the product.

Module-5: Calculate the bill

This module is for bill calculating operator who will

1. Calculate the bill.
2. Print it.

5.0 Summary, Conclusion and Recommendation

5.1 Summary

This project was designed by Emmanuel Faith Favour and Asiagha Ugochukwu M, submitted to the Department of Computer Science Federal Polytechnic Nekede, Owerri in partial fulfillment of the award of Ordinary National Diploma (OND) in computer science.

This project Design and Implementation of automated Billing System, was designed to eliminate the difficulties encountered by the supermarket (Maris Supermarket) in so many ways. The area in which the automation focuses its attention is in the area of billing and storage of goods.

5.2 Conclusion

The DESIGN AND IMPLEMENTATION OF AUTOMATED BILLING SYSTEM is a great improvement over the manual system using case fields and paper. The computerization of the system has sped up the process. In the current system, the front office managing is very slow. The supermarket management was thoroughly checked and tested with dummy data and thus is found to be very reliable.

5.3 Recommendation

We suggest that the management of Maris Supermarket should realize that the automation of her billing system today and the future prospects its promises. They should make all effort to promote the rapid development of infrastructure services, automated billing system and its contents.

In addition, the supermarket should imbibed in the use of the software. They should encourage the development of the billing system that will promote the social and economic activities in Nigeria.

Finally, they should encourage other sectors to embark on the automation of their billing system to enhanced economic activities in such sector or organization.
