Abstract


Library management, its operation has never been easy to run effectively manually, lending of books, records of returned books, books in the library, its shift and many more. This research work will dwell more on developing and implementing a comprehensive library management system capable of handling the library operation, like book lending, retrieval/return, staffs/students registration, book registration, update, search and delete. I used the Entity-Relationship model to design a database that will store and organize the library’s data. I also created the database using SQL and populated it with some sample Data. In order to archive this research work, a sophisticated program language was chosen – VB.Net using visual studio 2012 ultimate development environment to implement the work. At the end of the research work the system was tested and its corresponding outcome was as expected, and all security issues was checked and considered for security measures. I conclude that library management software is a powerful and effective tools to be used in every library for effective management.


Chapter One


Introduction

1.1 Background of the Study

According to Stephen, Maeve & Philip.’ (2007). in a traditional sense, a Library’ a large collection of books and can refer to the place in which the collection is housed. Today the term can refer to any collection, including digital sources, resources, and service. The collections can be of paint. audio, and visual materials in numerous format, including maps, print, and documents, microform, CDs, cassettes, video tapes, DVDs, video games, e-books, audio books and many other electronic resources. The places where this material is stored can range from public libraries subscription libraries, private libraries and can also be in digital form, stored on computers or accessible over the internet.

As technology is the faster growing trends, computers now a days are being put of human life. Through computers business, organizations schools, companies and etc. can transact to their clients in a convenient way using advance technologies and specially the application software, The application software is created for library functions through this “Library management System” librarian can lessen their errors and efforts in every book processing and transactions and in making reports.

Many institutions make a distinction between a circulating or lending library, where materials are expected and intended to be loaned to patrons, institutions, or other libraries, and a reference library where material is not lent out. Modern libraries are often a mixture of both, containing a general collection for circulation, and a reference collection which is restricted to the library premises. Also, increasingly, digital collections enable broader access to material that may not circulate in print, and enables libraries to expand their collections even without building a larger facility.

Academic libraries are generally located on college and university campuses and primarily serve the students and faculty of that and other academic institutions. Some academic libraries, especially those at public institutions, are accessible to members of the general public in whole or in part. Academic libraries are libraries that are hosted in post-secondary educational institutions, such as colleges and universities. Their main function are to provide support in research and resource linkage for students and faculty of the educational institution. Specific course-related resources are usually provided by the library, such as copies of textbooks and article readings held on ‘reserve’ (meaning that they are loaned out only on a short-term basis, usually a matter of hours).

Academic libraries offer workshops and courses outside of formal, graded coursework, which are meant to provide students with the tools necessary to succeed in their programs. These workshops may include help with citations, effective search techniques, journal databases, and electronic citation software. These workshops provide students with skills that can help them achieve success in their academic careers (and often, in their future occupations), which they may not learn inside the classroom.


1.2 Statement of Problem

In the existing system all the transaction of books are done manually, So taking more time for a transaction like borrowing a book or returning a book and also for searching of members and books. Another major problem is on preparing the list of books borrowed and the available books in the library will take more time, currently it is doing as a one day process for verifying all records. So after conducting the feasibility study a decision to make the manual Library management system to be computerized one was taken to consideration. Some of the problems being faced that brought about the new system design are as follows:

  1. Fast report generation is not possible.
  2. Tracing a book is difficult.
  3. Information about issue/return of the books is not properly maintained.
  4. No central database can be created as information is
  5. Records are not available in database.

1.3 Aim and Objectives of the Study

The main objective of the proposed system is to change the manual system into computerized System, to develop a system where lending and book management can be made at easy.

Specific Objective of the Project

Here are some specific objectives of the proposed system. The system will,

  1. Provides “better and efficient” service to staff/users.
  2. Reduce the workload of employee.
  3. Faster retrieval of information about the desired book.
  4. Provide facility for proper monitoring reduce paper work and provide data security.
  5. All details will be available on a click.
  6. Fast access to database (Quick transaction)
  7. Less error
  8. More Storage Capacity
  9. Search facility

1.4 Significance of the Study

The significance of this research work goes along with the research objective which was achieved in this study, this work is highly important to the management of any library as one of the feature of this system is to automate the book lending in the library. Also, with the help of this research work, it has broaden the view and understanding of the researcher, inferably, wider and will also serve as a reference and study aid to other upcoming researchers.


1.6 Project Organization

This study is developed under five chapters. The first chapter introduces the research topic, stating the background of the intended project, statement of the problems, project objectives, its significance to the society and overall scope. The second chapter reviews related literature on library management. It analyses previous research works, their limitations and need for the development of better system. The third chapter discusses the methodology used for the project development, the limitations of the currently used system and reasons the intended system should be chosen over the current system. It also showcases the design processes of the new system. Chapter four showcases the actual running of the developed system. Here proper tests are done to check the strength of the developed system. The developed system is analyzed to determine its conformation with the stated objectives. Chapter five gives the summary of the project, gives the conclusion and recommends approaches for better system.


1.7 Definition of Terms

Bibliography:

A list of books and articles to be found at the back of many non-fiction books, or at the end of articles in encyclopedia on the same subject.

Accession Register:

A book in which the following information about the book is listed when it is obtained: accession number, title, price and source of supply, date of withdrawal and reason for withdrawal.

Book Card:

A card kept in the pocket of a book when the book is on the shelf.

Blurb:

Blurb tells what the book is about. It is found either in the front, inside flap of the jacket, or on one of the first few pages of the book or on the back cover.

Catalogue:

Contain cards with information about each book in the library.

Contents:

A list in the front of most books (after the title page) which gives the chapter heading or story titles and their page numbers.

Cataloguing:

The description of each book on to cards as it comes into the library.

OPAC:

An online public access catalogue is an online database of materials held by a library or group of libraries. Users search a library catalogue principally to locate books and other material available at a library.

DELNET:

Developing library network, is an organization promoting resource sharing among libraries through the development of a network of libraries


Chapter Five


Summary, Conclusion and Recommendation

5.1 Summary

The main goal of this thesis was to explore the process of building a PHP and MySQL Library Management System. The purpose of the study was to design a user view interface for the Book and Library Lending Management System.

The Library Management System was built on the basis of PHP development; this study reduced the development cost. The further operation and maintenance cost could be gained from advertising fees. As the project grows, more and more libraries will consider purchasing this system. The financial benefit from the system will be much greater than the operation and maintenance costs. Besides, the system used a fully graphical interface, which fully considered the efficiency of managing system.

This thesis was limited since Library Management System will have a manager view interface. The work done in this study is a user view interface of the whole system. In the latter part of the system development process, the programmer would focus on the combination of the library and website, integrating the News system and administration module. Meanwhile, the maintenance of the system is also very important as well as improving the efficiency of procedures by optimizing the database and simplifying the structure of PHP script.


5.2 Conclusion

The library system was implemented and the system met the requirements it had to implement. This system fulfilled the areas of data validation and error checking properly but otherwise due to time, the library system was not completely tested in all required testing areas of software engineering.

Even though the time to design and implement the system was not enough, I managed to the successfully complete the project and deliver a system that is working and meeting the system requirements. From a personal point of view, this project has really facilitated me to see the reality of the concepts and methods I learnt in class such as software engineering and programming. Furthermore, developing of this system has really helped me to have lots of self-confidence in PHP programming, JavaScript scripting as well as be very good at Project Management.


5.3 Recommendation

The book and library lending management system with time will have to be improved to include an E-mail notification module in the system. The system will also be worked on and be implemented in Java in the future so that it can be an executable file to be installable. The system will also include a section which will hold journals and research papers. The system will be improved to display a picture of the user who logs into the system as well as have a section for buying books online. This will be made possible by implementing a shopping cart in the library management system. The system will also be improved by making it possible to increase the number of times a book can be borrowed from the library system.

This will enable users to borrow the same book more than once. Finally the future projects which will be done later on are as follows:

  1. A Student can develop a Generic Installation System that can be used for installing PHP/MySQL system such as the Library Management System.
  2. A Student can implement an Information Management System that can integrate PHP/MySQL systems such as the Library Management System.
  3. A Student can develop a Distributed Health Management System that can integrate PHP/MySQL systems such as the Library Management System.
  4. A Student can implement a Warehouse Management System that can integrate PHP/MySQL systems such as the Library Management System.
