Effects Of Leadership Style On Executive Secretary Relationship And Productivity


Abstarct


This study was carried out on the effects of leadership style on executive secretary relationship and productivity using GlaxoSmithKline Consumers Nig. Plc as case study. To achieve this, four significant research objectives were formulated. The survey design was adopted and the simple random sampling techniques were employed in this study. The population size comprise of staff of GlaxoSmithKline Consumers Nig. Plc. In determining the sample size, the researcher conveniently selected 39 respondents while 38 were received and 35 were validated. Self-constructed and validated questionnaire was used for data collection. The collected and validated questionnaires were analyzed using frequency tables and percentage. The result of the findings reveals that giving secretaries the opportunity to contribute to the decision making in the organization is necessary for ensuring cordial relationship between secretaries and top officials. The findings also revealed that effective leadership style acts as a tool for enhancing the secretary’s productive effort. In regard to the findings, the study recommends that the leaders are enjoined to sometimes delegate their power to subordinates. This gives subordinates the impression of being recognized by their bosses. With this development, workers tend to become creative and innovative. And the management is also advised to make use of combinations of leadership styles. Adopting only one style of leadership might be injurious to the attainment of organizational goals. This practice will however, depend on the prevailing situation in the organization.

1.0 Introduction

1.1 Background of the Study

Leadership style is an important factor in any organization. This is because it plays a very important role in work’s productivity, job satisfaction, favorable work environment as well as healthy work relations between the employee and employer. For the purpose of this research study, I shall dwell more on he healthy work relation between employees and employers but I will narrow it down to Secretary\Boss relationship. I shall try to x-ray the leadership style effect on Secretary\Boss relationship and productivity.

Advance learners dictionary of contemporary English defined leadership as the method used by someone at the helm of affairs to pass orders, organize his\her subordinate to perform certain tasks assigned to them to achieve his set objectives

Industrial psychology gives three broad types of leadership style which includes autocratic, democratic and

It went further to stress that apart from there three broad types, there is the one we call transformational leadership style. All these leadership styles, each has its implication and effects on the relationship that exist between the Boss and the subordinates. These implication and are not without its effect on secretary \ Boss relationship. The type of leadership style adopted by a boss will go a long way in determining the relationship that exist between that boss and secretary .

A boss may adopt a leadership style because of what the organization wants to achieve that is organizational goals or as a result of past experience with members of his staff or subordinates. Whatever is the reason and no matter the leadership style, its effect on secretary \boss relationship should be critically examined. This will help to check loss of job satisfaction n the side of the secretary and poor productivity on the side of loss

Which is the resultant effect or lack of job commitment, job satisfaction and motivation? Many a times the success or failure of any business Organization determined by the managers, leadership styles. The productivity of any organization can be enhanced by the leadership styles of manager styles.

The productivity of any organization can be enhanced by the leadership styles who is an integral part of the secretary and also the entire organization system is also affected by this leadership style to the extent it affected her work directly with the boss.

A leader can also be seen as one who occupies the highest position in an organization, influencing his subordinates to achieve group that the leadership style is vested on the leader. According to Nwosu (1996), leadership is a managerial ability to accomplished group goals that is sometimes referred to as a partner to the boss.
Leadership style represents the various approached through which leadership goals and objectives are accomplished. Leadership style of the situation demands the style must depends on the prevailing situation or circumstances.

Bekwe (1981) saw leadership style as a major factor in the motivation of an employee. A good leadership style gains secretaries commitment to work and elates good behaviors towards increased productivity. Conversely, a bad leadership style constitutes unwholesome working environment and a poor relationship between the secretary and the boss thereby resulting in poor performance and low productivity.


1.2 Statement of the Problem

If is common thing to walk into an office and find a secretary looking so worn out and dejected. A closer watch on her will tell you that he\she loots the presence of him or her boss. This is not because of the numerous tasks the secretary has to perform in the office rather it is the aftermath of a stained relationship between her and the boss. When there is the type of situation, the secretary will not concentrate on her job. She commits a lot of mistake and her boss will not take it kindly with he for these mistake.

A time she makes mistakes that are too costly and may put her job on the line. The boss who id not harming it easy with her because of the kind of leadership style he adopted will to exhibit his bossy position by taking disciplinary action against the secretary. The type of situation is not in the best interest of the organization since it may lead to low productivity and high staff turnover.


1.3 Purpose of the Study

  1. This research study will try to x-ray the effect of leadership style on secretary \ boss relationship.
  2. Investigate the type of leadership style adopted by bosses in selected establishments.
  3. Find out the most wanted or appreciated leadership style the least wanted and their effects on secretary \ boss relationship and productivity.
  4. Find out the effect of different leadership style on secretaries\boss relationship with the view to preferring solution to them.

1.4 Research Question

The following questions will guide this study;

  1. What is the effect of leadership style on secretary \ boss relationship?
  2. What are the type of leadership style adopted by bosses?
  3. What is the most wanted or appreciated leadership style that affects secretary \ boss relationship?

1.5 Significance of the Study

At the end of this study, we should be able to know the leadership style is the best for certain situations. The implication of the leadership style adopted by some bosses with particular attention to its effect on secretary \boss relationship and productivity. This research study will also proffer solutions to the effect of these leadership styles to enhance good working relationship as well as productivity.


1.6 Scope of the Study

Because there are many organizations in which secretaries’ work, for the sake of conducting thorough investigation or research, this study will only cover selected business organization.


1.7 Limitations of the Study

This study will be limited to the selected firm (GlaxoSmithKline Consumers Nig. Plc) in Lagos State and seek address the effect of leadership style on executive secretary’s relationship and productivity, and the following limitations:

1. Time:

This study is limited or constraint by time as the time used to carry it out is not sufficient for a thorough study. Especially for the fact that the researcher is a final year student and have few months to carry out.

2. Financial Constraint:

The study is also constraint by finance. The money needed to source for information via journals, questionnaires administration and other sources of information were not adequately available.

3. Poor Attitude of the Respondents:

Some of the respondents refuse to fill the questionnaire while some have to be persuaded before they fill the questionnaire, this is because of time and their busy schedule.


1.8 Definition of Terms

Here words that are peculiar in the study will be given clear explanations for easy understanding by the readers.

Secretary:

A person employed by an individual or in an office to assist with correspondence, keep records, make appointments, take notes and handles general clerical work

Leadership:

A position of being the leader of a team or an organization.

Leader:

A leader is a person who influence, directs or control another person toward achievement of common goal and objective.

Management:

The act of planning, controlling, directing, and organizing the activities of an organization in an integrated system to achieve certain objectives.

Motivate:

To make someone want to achieve something and make them willing to work harder in order to do it.

Organization:

This is a group of people who come together for a particular purpose or goal.

Productivity:

This is the ratio of output to inputs in production; it is a measure of the efficiency of production.

Summary, Conclusions and Recommendations:

5.1 Introduction

This chapter summarizes the findings on the effects of leadership style on executive secretary relationship and productivity using GlaxoSmithKline Consumers Nig. Plc as case study. The chapter consists of summary of the study, conclusions, and recommendations.


5.2 Summary of the Study

In this study, our focus was onthe effects of leadership style on executive secretary relationship and productivity using GlaxoSmithKline Consumers Nig. Plc as case study.The study is was specifically set to; x-ray the effect of leadership style on secretary\boss relationship, investigate the type of leadership style adopted by bosses in selected establishments, find out the most wanted or appreciated leadership style the least wanted and their effects on secretary\boss relationship and productivity, and find out the effect of different leadership style on secretaries\boss relationship with the view to preferring solution to them.

The study adopted the survey research design and randomly enrolled participants in the study. A total of 35 responses were validated from the enrolled participants where all respondent are staff of GlaxoSmithKline Consumers Nig. Plc. Lagos State.


5.3 Conclusion

The need for an effective leadership style has been the point of emphasis throughout this study. In the light of the analysis carried out, the following conclusions were drawn.

  1. Giving secretaries the opportunity to contribute to the decision making in the organization is necessary for ensuring cordial relationship between secretaries and top officials.
  2. Effective leadership style acts as a tool for enhancing the secretary’s productive effort.
  3. With democratic style of leadership is being recognized as the most effective among other styles of leadership such as, autocratic style, and laissez-faire style, etc. This assumption holds because of the fact that it is conducive enough for the workers to participate in the organizational process/decision making process.

5.4 Recommendations

Based on the findings the researcher recommends;

  1. The leaders are enjoined to sometimes delegate their power to subordinates. This gives subordinates the impression of being recognized by their bosses. With this development, workers tend to become creative and innovative.
  2. The management is also advised to make use of combinations of leadership styles. Adopting only one style of leadership might be injurious to the attainment of organizational goals. This practice will however, depend on the prevailing situation in the organization.
  3. The management must recognize the fact that an organization is not only an economic and technical unit, but also a social unit. Therefore, leaders are advised to use social factors apart from economic incentives to motivate workers. Examples of these social factors include the establishment of informal groups known as workgroups in the organization, performing organizational rites and ceremonies (e.g. end of the year party, friendly matches between departments), staff canteen etc. this will certainly create a sense of belonging to the secretaries and other workers, and it tends to help in achieving their individual goals and objectives, such that they do not come in conflict with the organizational goals.
